Reporting of the WEHA “State of the Union”
Each year at the Annual General Meeting (AGM) we provide a written assessment detailing our accomplishments, deficiencies and goals for the next fiscal year. This year’s AGM was held Saturday, October 1, 2011 at the corner of Rosebriar and Greenbriar Lane, where we meet and vote on new officers and board members, as well as enjoy a great barbeque dinner and extended conversation with other homeowners in the neighborhood. Our fiscal year runs from September to the end of August each year, hence the reason why we have our AGM each year at the end of September or early October.
Following is the written “state of the union” assessment made at the 2011 meeting.
2011 WEHA STATE OF THE UNION
Each year we provide a summary of this year’s accomplishments and deficiencies, plus our goals for the new fiscal year (2012), which actually begins September 1 each year.
This State of the Union, which was begun in 2008, is presented at the Annual General meeting as well as discussed in detail at our regularly scheduled November board meeting each year.

2010 GOALS AND ACCOMPLISHMENTS
GOAL – Continue to improve the number of dues collected to meet and exceed our goal of 125 dues payments for 2011.
ACCOMPLISHMENT – We fell short of our goal by 7, as we secured 118 dues payments during 2011. This represents 75% of all homeowners.
GOAL – Revitalize and improve the landscaping and lighting at the North Entrance..
ACCOMPLISHMENT - We cut down over a dozen smaller native oak trees which were all dead, as well as trimmed back the bushes that are directly behind each entrance sign. We also put in entirely new planting, much of which was severely impacted by this year’s extreme drought.
GOAL – Complete clean-up and landscaping improvements at the East Entrance, including tree trimming, new seasonal color plantings, new mulch, etc.
ACCOMPLISHMENT – We were about 70% complete with the specified improvements when we put a halt to things as a result of the drought. In addition, the control boxes for watering at BOTH the north and east entrances failed, resulting in a new box having to be purchased and installed at each entrance.
GOAL – Complete the system design and implement the new online homeowner data base.
ACCOMPLISHMENT – The new online homeowner data base system was completed and introduced in mid year. A few bugs have been identified and corrected. A data base manager (WEHA homeowner) has been selected and is currently working to make sure everyone joins the data base. This project is approximately 50% complete.
GOALS FOR 2012
Complete the implementation of the new online homeowner data base. Set up a process for continued support and maintenance of the system.
Repair damages at both entrances due to the extreme drought. Perform clean-up and maintenance activities as required during the year.
Establish a solid liaison with specific Colleyville officials to address neighborhood concerns including but not limited to the drainage ditch which bisects Woodbriar Estates and certain other upkeep and maintenance issues.
Dues Payment for 2012– ONLY $50!
Here are the primary projects we will be working on during 2012.
As most of you are aware we installed a new lighting system at the east front entrance during 2010. The response to this improvement was excellent.
During 2011 we continued improvements in landscaping in our common areas at both the north and east entrances to our neighborhood. However, due to the extreme drought conditions we experienced during 2011, we curtailed further improvements beginning in June, 2011.
As a result, our primary goal during 2012 (as future local climate conditions allow), will be to continue and complete our improvements in the common areas of our neighborhood, including the north and east entrances, as well as the ongoing maintenance and upkeep of these areas.

For your information or as a reminder, your Board of Directors meet EVERY TWO MONTHS (more often if events deem it necessary). The board is also routinely in contact with each other as a group via email correspondence.
Check the side bar on this page which lists all of the board meeting dates during the year. Each meeting starts promptly at 7:30PM. Anyone is invited to attend at any time.
At each meeting minutes are taken and submitted at the next meeting for approval by the board before being made public. Each meeting minutes is available for reference by contacting any board member.
Announcing our 2011 Christmas Lights Contest Winners
This year’s holiday decorations were outstanding and the judging as always was very close. As we do each holiday season, last year’s winners (the Rodriquez’s, the Lenhart’s and the Clark’s) were this year’s judges, and as always, did a great job selecting the winners:
1st Place – 3705 Rosebriar Lane – Mike and Roberta Sides
2nd Place – 104 Greenbriar Lane – David and Cindy Wallace
3rd Place – 3609 Oakbriar Lane – Tim and Robin Dewhirst
Since the voting was so close, we have also included two runners-up:
4th Place Tie – 3713 Greenbriar Court – Michael and Melinda Heika
4th Place Tie – 3801 Oakbriar Lane - David and Donna Hedges
The first through third place winners each received a $35 gift certificate for use at Market Street in Colleyville.
And, for the first time ever we have also awarded an “Honorable Mention” for the creative, funny and clever display done at 3708 Rosebriar Lane (Gary and Annette Copeland). It depicted a person hanging from a tree while trying to put up lights
after his ladder had fallen over.

Don’t forget…mark your calendar for our next Annual General Meeting (AGM) which will be held on Saturday, September 29, 2012 at 4:00PM at the corner of Rosebriar and Greenbriar Lane.
2012 SPRING/SUMMER/FALL ACTIVITIES
At our last meeting we developed and finalized our formal activities schedule for 2012. This schedule is prominently displayed in a side bar to the right on each page of this site to remind everyone of the many events which are planned during each year.
Here are some important events to remember:
Saturday, April 14 – Neighborhood Spring Clean-up and Work Day at Entrances – 9AM – Although this function is primarily done by the WEHA Board Members each year, we invite any WEHA homeowners to join us in this endeavor. Actually it’s fun and it’s great exercise. It usually takes about two hours.
Saturday, June/July - Special Event! – We are considering having a special neighborhood get together in June or July. Since many of our homeowners are out of town or have other plans over July 4th we will stay away from that date. We are looking at perhaps holding it on Saturday, June 16 or Saturday, July 14. It would be conducted as “Block Party” with live music (we now have several musicians who live in our neighborhood) and a cookout. Watch for more information on this event in future newsletters.
Saturday, August 25 – Neighborhood Garage Sale – Last summer who would have guessed the day of our Garage Sale it would be 107 degrees and we would be in the worst drought ever?! Needless to say not many people were looking for bargains that day. This summer will be different and we are looking forward to a repeat of the year before last when we had a great August Garage Sale!
Friday, September 28 – Men’s Night Out! – We have been conducting this for several years now and it keeps getting bigger and better. We will be previewing it in detail in a future newsletter.
Saturday, September 29 – WEHA Annual General Meeting (AGM) – At this year’s AGM we plan on adding musical entertainment and will be sure to continue with the excellent barbeque dinner with all the trimmings. You can’t beat this event!
Saturday and Sunday, December 15/16 – Neighborhood Christmas Lights Judging – Here’s your chance to win a great gift certificate, just in time for the holiday season.

The fiscal year for the Woodbriar Estates Homeowners Association is NOT run on a calendar year schedule. Our fiscal year runs from the beginning of September to the end of August each year. That’s why you’ll be getting reminder announcements about payment of dues beginning each fall and extending into the next year. It’s also why our Annual General Meeting is held each year either in late September or early October. It gives your Board of Directors sufficient time to select and nominate officers and directors and audit the finances and develop a budget for the new fiscal year.
